The Business Office Administrative Assistant II performs an extensive amount of data entry, filing, recording and reporting of information for both the Fiscal and Personnel funtions of the school district.  The employee assigned to this position may be concentrating in registration and program logistics, or may perform a range of general clerical, secretarial, or office support duties.  The employee also completes and submits various data reports to the Oregon Department of Education. The position requires the employee to work effectively with a team or special population; organize and oversee small groups of students, staff and or patrons to complete a project; and additional secretarial skills by demonstrating competence in various softwares, at a minimum: word processing, spreadsheets, and publishing programs. The employee works under the supervision of the Business Manager.

  • Understanding and experience in modern office practices, procedures and office equipment.
  • Proficiency in the usage of database software, internet software and e-mail.
  • Proficient in PowerSchool-student data system, Aesop/Frontline Absence Management, Infinite Visions, MS Word, Publisher and Excel preferred.
  • Read, understand and carry out oral and written instructions.
  • Accurately transfer, record and convey information, materials, and money as required by the position.
  • Hold, or have the ability to obtain, a valid first aid card (District can provide training prior to school year starting).
  • Have experience performing, or the ability to perform, the following:
    • Perform general office duties including answering multi-line phones directing calls and taking messages as appropriate, greeting the public, typing, copying, filing, sorting and handling incoming and outgoing mail.
    • Compile and submit reports to the Oregon Department of Education.
    • Enter purchase orders, recieve orders, prepare cash receipts, prepare bank deposits, manage and reconcile petty cash.
    • Maintain accurate records in printed and electronic format including: fiscal records, employee records, volunteer records, new and transfer student records and behavior referrals and student withdrawals.
    • Warmly greet parents, students and staff in main office and direct as appropriate providing guest badges, etc.
    • Follow and personally administer bodily fluid clean up protocols for students.
    • Follow and personally administer medical protocols for students and provide first aid (ice, bandages, take temperature, etc) to team members and students and maintain an accurate log of distribution consistent with District policy(ies).
    • Assist with volunteer program including planning and implementing volunteer trainings at the beginning of the year as needed, preparing materials, collecting, collating, updating lists, creating name tags, and responding to requests from teachers, supervisors and administrators.
    • Appropriately maintain and secure confidential records and inquiries. Professionally represent the school and the District in interactions with parents, community, staff, and students. 
    • Troubleshoot office machinery (copy, fax, postage meter etc.) coordinating maintenance and supply inventory.
    • Accept direction for tasks and assignments from Supervisor.
    • Comply with applicable District, state, local and federal laws, rules and regulations.
    • Attend work regularly.
    • Occasionally perform work beyond the standard 40-hour work week when work load requires.
    • Actively support and build a strong positive school culture and learning environment.
